Preparing the packet

Organize documents in folders that match the checklist categories. If sending digitally, use clear file names — '2025_1099_ABC_Logistics.pdf' is easier to work with than 'scan_001.jpg'. Add a one-page cover note that lists anything unusual during the year: a truck purchase or trade-in, a major repair, an insurance claim, a missed estimated payment, or a new factoring arrangement. Flagging those items before the appointment means the preparer can research the treatment in advance rather than discovering them mid-meeting.

Timing the packet

Most 1099s are due to arrive by January 31. Wait until all 1099s have arrived before sending the final packet — or send what you have and note which 1099s are still expected. Contact your preparer in early January to schedule the appointment. Tax preparers fill up fast in February and March, and a late booking can delay your return into April.
